Admin and HR Officer

Summary of Duties

The Administration and Human Resources Officer (AHRO) supervises and directs the work of the Administration and Human Resources Division under the direction of the Deputy Director, Administrative Affairs. The main responsibilities of the AHRO include general office management including the front desk, handling incoming and outgoing correspondence, the enforcement of the Staff Regulations and acting as the point of contact for local and foreign clients. In addition, the GAHRO must develop the Institute’s filing system and maintain them up to date and in proper order. The AHRO will be required to organize meetings and service the meetings including notetaking and preparing the minutes.

Education and Experience

Diploma in administration ormanagement OR completion of higher secondary school with 2+ years of experience in a similar job. (Appropriate education and/or experience may be substituted on equivalent basis)

Skills

Must possess leadership skills, good communication skills and office administration abilities. Sound IT skills, social media skills and marketing and sales abilities will be added advantages.

Budget and Finance Officer

Summary of Duties

Under the direction of the Deputy Director, Admin Affairs, the Budget and Finance Officer (BFO) maintains the main and subsidiary ledgers and keeps track of accounts receivables and payables while ensuring that all financial transactions are updated and recorded. The BFO manages cash controls to ensure that all expenditures are approved by the Director and are well within the budget limits. The BFO will also be responsible for preparing all financial statements including invoices, balance sheets, income statements and expenditure reports. The BFO must identify and resolve accounting discrepancies, invoicing and other financial transactions. The preparation of the TFI budget must be led and overseen by the BFO.

Education and Experience

Diploma in accounting or financial management, OR Completion of higher secondary school with 2+ years of experience in a similar job. (Appropriate education and/or experience may be substituted on equivalent basis)

Skills

Must possess supervisory skills, proactive team working skills and the ability to prioritise workload to meet deadlines. Sound IT skills including Excel will be an added advantage.
